Requesting uploads from external contributors

Send photographers, designers and copywriters a link where they can upload files straight into Assets, without needing an account.

When you work with people outside your organization, you do not have to collect files by e-mail. Send them an upload request instead. This is called a Share Request: a simple web page where they drop their files.

What you need

Creating upload requests is a Pro license feature, and your account also needs the permission for it. If you do not see the Request Upload button, ask us to check.

Creating a Share Request

  1. Optional: create a folder in Assets where the files should be stored. A folder in your own user area keeps the files private.
  2. Click Request Upload in the top right corner (shortcut: Shift+U).
  3. Fill in the options:
  • Subject and a Description with a short message for the contributor.
  • Link valid until, the date the link expires.
  • Upload, the folder where the files should land. By default this is a private folder in your user area.
  • Approve, if you also want the contributor to approve or reject files.
  • Notify by e-mail, to receive a message when someone uploads.
  1. Click Share and copy the link.
  2. Send the link by e-mail.

What the contributor does

  1. Opens the link and drags files or folders onto the page, or uses Browse files.
  2. Selects files to fill in the metadata fields.
  3. Clicks Finish upload, or switches on Auto finish.

Files are available in Assets as soon as they are added. A single file cannot be removed during the upload. If something is wrong, the whole upload has to be cancelled.

Managing requests

A Share Request is a special kind of Shared Link. You find all of yours on the Shared Links page, next to your avatar in the top right corner.
