Sharing is easy, so it pays to keep control of it. This article covers how long a link works, what the person on the other end sees, and how to manage what you have shared.
Expiry dates
Every Shared Link has a Link valid until date. After that date the link stops working. Your administrator can set the default expiry period for new links, so the date may already be filled in when you open the Share page. You can always change it.
Use short expiry periods for sensitive files, and extend a link later if you need to.
What the recipient sees
The recipient opens the link in a web browser and sees a page with the files you shared. What they can do depends on the options you chose:
- Preview the files
- Download previews, originals or presets
- Upload more files, if you allowed it
- Approve or reject files and leave comments, if you allowed it
They cannot change the original files in Assets.
Managing your links
Click Shared Links in the top right corner, next to your avatar, to see the links you have created. From there you can manage the links and upload requests you have created, and change their settings, including the expiry date.
Good practice
- Add a clear subject so recipients know what they are looking at.
- Test your link in a private browser window before you send it.
- Prefer sharing a Collection when you expect to add files.
- Do not leave old links active. Set an expiry date every time.
