Assets can open a file in the application it was made for, such as Photoshop for an image or Word for a document. When you are done, the edited file goes back into Assets.
The quick version
- Find the file in Assets and select it.
- Click Check out in the menu bar. The file opens in its application.
- Edit the file and save it.
- Go back to Assets and open the Checked-out files page. The shortcut is Alt+E.
- Select the file and click Check in.
While a file is checked out, nobody else can edit it.
Check in or Replace?
- Check in updates the original file. It is available when you saved the file under the same name and file type. It needs Assets Agent to be running (see the article on Assets Agent).
- Replace swaps the original for another file, for instance one with a different name or type, such as a PNG instead of a JPG. The file you choose must be stored outside Assets. The name of the original file in Assets is kept.
Both can keep your metadata or replace it with the metadata of the new file. Choose Keep original metadata if you do not want to lose the descriptions you added. This choice requires Assets 6.107 or higher.
Other things you can do with an edited file
- Save as a new file. Add the edited version to Assets as a separate file and leave the original untouched.
- Cancel the check-out. The original stays as it was, as if it was never checked out.
Without Assets Agent
You can still check out files, but check-in is only available as Replace, and the downloaded files are not removed from your computer afterwards. Remove them by hand when you are done.
InDesign layouts
Layouts are opened with Open in InDesign instead of Check out. See the article on Assets for InDesign.
Made a mistake?
Every check-in creates a version. Open the History panel to go back to an earlier one.
