Assets keeps track of what happens to your files. That makes it safe to edit and replace them.
Opening the History panel
Select a single file and click the History icon on the right side of the screen. The panel has two tabs.
Versions
A new version is created whenever a file is checked in, whether from Assets, from Assets for InDesign or through an integration. The Versions tab lists them all.
To go back, open the menu of the version you want and choose Revert.
By default the system keeps the last five versions, plus any version where the field Keep version is set to true. Your administrator can change these rules, for instance to keep fewer versions of videos and more of office documents.
Full history
The Full History tab lists the actions performed on the file and every change to its metadata, grouped by time period such as today, yesterday or two weeks ago. Hover over an icon to see who did it and when.
Use the search box and the filter at the top of the panel to narrow things down. For example:
- Type a person’s name to see their changes only.
- Type a metadata field name to see changes to that field.
- Filter on Checked-out, Moved or Changed metadata to focus on one type of action.
Why this matters
If someone replaces a file by accident or overwrites good metadata, you can find out what happened and restore the earlier state.
